Last week, the article “Government breaks the law with purchased Microsoft solutions” appeared. An important topic that deserves attention. For us, this comes as no surprise, but why is it that these problems arise?

We have long been aware of problems with rushed implementations of Microsoft environments. The article highlights that governments often struggle with the proper setup of their Microsoft 365 environment, resulting in poor archiving and data security (more info on the article can be found here). But what goes wrong?

Microsoft offers many options for document management, but successful implementation requires specific knowledge. It is important to know that you can indeed comply with laws and regulations with a Microsoft environment, as long as it is set up properly!

What should governments consider?

With the introduction of new legislation, such as the NIS2 directive and the updated Archives Act, municipalities and provinces face greater challenges than ever. These directives require strict compliance with archiving and data security rules. Yet it turns out that governments pay insufficient attention to the policy and the translation to a proper setup when implementing Microsoft 365. As a result, archiving is often inadequate and data security falls short of legal requirements.

What is the solution?

Fortunately, there are effective solutions to the challenges facing governments. Microsoft 365 offers extensive archiving and data security capabilities. But that goes beyond “simply” turning on SharePoint/Teams. It starts with defining a thoughtful and solid retention policy. By setting up automatic archiving, ensuring that all data security protocols are correctly applied, not to mention cleaning up existing data. After all, this is how governments do comply with laws and regulations.
