More and more organizations are making the switch to SharePoint, and for good reason! SharePoint is part of Microsoft 365 and offers many advantages over a classic file server. Especially for organizations that already have Microsoft 365 licenses, the switch to SharePoint is a no-brainer!

You’ve tied the knot with your organization: you’re going to switch to SharePoint. Now what? Although every migration project is different, we always go through the same steps for development and implementation.

By focusing on stakeholder engagement and understanding your business and work processes, we create an environment that matches your organization’s needs, contributes to project quality and ensures rapid user adoption.

Step 1: Architecture and design

In this step, we determine together what the new SharePoint environment will look like. We do this during interactive workshops with key users from different departments and disciplines. Together, we define the information structure and determine where which documents will be stored. These key users are the ambassadors within the organization. They play a crucial role in the change and pull the cart in cleaning up the old environment.

Also important: In this phase, we define policies around the use of SharePoint and associated applications such as Teams and OneDrive. In this way, we ensure that employees not only know how to make optimal use of SharePoint, but also that they do so in a secure and structured manner.

Step 2: Implementation

Implementation follows the inventory based on the functional and technical design. It is important to set up both a test and a production environment so that changes can be made safely in the future, without inconveniencing employees.

Key users will have the opportunity to be the first to view the new SharePoint environment and provide feedback so that it fully meets their needs and expectations.

Step 3: Completion

Based on the information gathered during the inventory phase, the documents are transferred to SharePoint. We do this using migration software, which makes the transfer almost completely automatic. The advantage of this is that document properties, such as who owns the document and when it was last edited, are also included.

Step 4: Support & Services

The new SharePoint environment has been set up and extensively tested, documents have been added, and both end users and functional administrators know how to use the application. It’s time to start using SharePoint!

After SharePoint goes live, management is transferred to our Service & Support department. Because developments in the area of SharePoint are ongoing, we meet periodically to discuss new features and improve the setup even further.

Adoption & awareness

Satisfied employees are key to a successful implementation. That is why we pay extra attention to adoption & awareness. This includes training for users and instruction videos for new employees. Employees are also kept informed of the entire process, for example in the form of newsletters. Here it is important to clearly emphasize the benefits for the employees themselves.
